About This Policy
This Cancellation Policy explains how you can cancel your MenuMate subscription, what happens after cancellation, and important timelines you should be aware of. All subscription payments are processed through Razorpay. For information about refunds, please refer to our Refund Policy.
1. Subscription Cancellation
1.1 Free Trial Cancellation
All new MenuMate accounts include a 7-day free trial. During the trial period:
- You may cancel at any time with no charges
- No credit card or payment information is required to start the trial
- Cancellation during the trial takes effect immediately
- No payment will be processed if cancelled before trial expiry
- Your data will be retained for 30 days after cancellation, then permanently deleted
1.2 Paid Subscription Cancellation
After the trial period, your subscription is billed monthly via Razorpay. You may cancel your paid subscription at any time:
- Cancellation must be initiated at least 24 hours before the next billing date
- Your subscription remains active until the end of the current billing period
- You will NOT be charged for the next billing cycle after cancellation
- No partial or prorated refunds are issued for unused days in the current billing period
- All features remain accessible until the billing period ends
2. How to Cancel Your Subscription
You can cancel your MenuMate subscription using any of the following methods:
Method 1: Via Dashboard (Recommended)
- Log in to your MenuMate dashboard at https://menu-mate.io
- Navigate to Settings → Billing & Subscription
- Click on "Cancel Subscription"
- Confirm cancellation in the confirmation dialog
- You will receive a confirmation email at your registered email address
Method 2: Via Email
- Send an email to support@menu-mate.io with subject line "Cancel Subscription"
- Include your registered email address and restaurant name
- Our team will process the cancellation within 2 business days
- You will receive a confirmation email once processed
Method 3: Via Phone
- Call us at +91 6230849344 during business hours (10 AM - 6 PM IST, Mon-Sat)
- Verify your account identity with your registered email and restaurant name
- Request subscription cancellation
- You will receive a confirmation email within 24 hours
3. What Happens After Cancellation
Once your cancellation is confirmed:
- Cancellation confirmation email sent to your registered email
- Auto-renewal is stopped — no future charges will be processed via Razorpay
- Your subscription remains active until the end of the current billing period
- Access to paid features is revoked
- WhatsApp Business integration is disconnected
- AI ordering and chatbot features are deactivated
- Staff accounts are deactivated
- QR codes and public menu page remain accessible for 7 days
- Your data (menu items, orders, customer data, settings) is retained for 30 days
- You can request a data export during this period by emailing support@menu-mate.io
- You can reactivate your subscription within 30 days to restore all data
- All account data is permanently deleted from our servers
- This action is irreversible — data cannot be recovered
- Financial records (invoices, payment history) are retained for 7 years as required by Indian tax law
4. Cancellation by MenuMate
MenuMate reserves the right to cancel or suspend your subscription in the following circumstances:
- Payment Failure: If your payment fails and remains unpaid for 7 days after the due date, your subscription may be automatically cancelled by Razorpay
- Terms Violation: If you violate our Terms of Service, your account may be suspended or terminated without refund
- Fraudulent Activity: If fraudulent or illegal activity is detected on your account
- Service Discontinuation: If we discontinue the Service, you will receive at least 30 days advance notice and a prorated refund for unused subscription time
5. Plan Downgrade vs. Cancellation
Instead of cancelling, you may choose to downgrade to a lower-tier plan:
- Plan changes can be made from Settings → Billing & Subscription → Change Plan
- Downgrades take effect at the start of the next billing cycle
- You retain access to your current plan features until the current billing period ends
- No additional charges or penalties for downgrading
6. Reactivation
If you change your mind after cancelling:
- Within 30 days: Log in and reactivate your subscription from Settings → Billing. All your data will be restored immediately
- After 30 days: Your data has been permanently deleted. You may create a new account and start fresh with a new 7-day free trial
7. Outstanding Charges
Upon cancellation, any outstanding usage-based charges (AI Chat tokens, Voice characters, WhatsApp Credits, Premium OCR) will be calculated and billed through Razorpay for the usage consumed up to the cancellation date. These charges are non-refundable as the services have already been consumed.

9. Changes to This Policy
We may update this Cancellation Policy periodically. Material changes will be communicated via email to your registered email address. Continued use of the Service after policy changes constitutes acceptance of the updated policy.
